Partner upload instructions template

Give partners upload instructions they can follow the first time.

Give partners one practical message that explains what to submit, when it is due, how to correct it, and how they will know it is accepted.

Copyable instruction template

Explain the complete submission path in clear partner language.

Replace the bracketed details with your exchange information, then copy the complete instruction set into the message or knowledge base your partner already receives.

1. What to prepare

Exchange: [EXCHANGE NAME] · Period: [PERIOD] · Deadline: [DATE, TIME, TIMEZONE]

  • Prepare every required file listed for this period: [REQUIRED FILES].
  • Add permitted supporting files where relevant: [OPTIONAL FILES].
  • Use the agreed formats and filename guidance: [FORMATS AND NAMING].
  • Before submitting, confirm the package belongs to the selected partner and period.

2. How to submit

Use the assigned DTO Flow feed so the package, period, and status remain connected.

  • Open your assigned feed from the invitation or agreed upload path.
  • Select the correct period and review the expected file list.
  • Add the complete package and submit it.
  • Review the status now or return later to see whether the package is accepted or needs attention.

3. If correction is required

Use the feedback attached to the submission instead of starting a separate exchange.

  • Open the affected file and review the issue details shown, including row, column, and expected value where available.
  • Apply the listed corrections and save the revised file.
  • Submit the replacement through the same feed and period.
  • Your earlier attempt remains visible, so both teams can follow the correction clearly.

4. When the package is complete

Acceptance tells both teams which result is ready for the receiving process.

  • Processing means DTO Flow is still checking the submitted package.
  • Correction required means at least one blocking issue needs a replacement.
  • Accepted identifies the package that is ready to move forward.
  • For help, contact [NAME] at [EMAIL] during [SUPPORT HOURS].

How to use it

Make the instructions specific before sending the invitation.

Concrete file, period, and support details give partners confidence at the first submission.

  1. Replace every placeholder

Add the exchange name, period, deadline, files, formats, naming, correction owner, and support contact.

  2. Walk through the partner journey

Confirm that the assigned partner can reach the feed, recognize the period, identify every expected file, and understand each status.

  3. Send and reuse the instructions

Share the reviewed text with the invitation or onboarding message and keep it aligned when the feed expectations change.

Turn guidance into a clear process

DTO Flow puts the written instructions where partners submit.

Partners see the same assigned feed, expected package, period, correction guidance, and accepted status described in the message.

Visible requirements

Required and optional files appear in the selected feed and period before submission.

Assigned access

Invited partner users see only the exchanges and actions granted to them.

Correction guidance

Agreed checks return precise, actionable findings on the submitted file.

Shared completion

Accepted status gives the partner and receiving team the same current result.

Instruction questions

Give partners enough detail to act without another thread.

Who should own the instructions?

The partner coordinator should own the message with input from the feed owner and the person responsible for validation or the receiving-team handoff.

Can the instructions describe a multi-file package?

Yes. List every required and supporting file, bringing Excel and CSV files together with the business documents the receiving team expects.

When should the instructions be sent?

Send them with partner access or before the first expected period, then reuse the reviewed wording when the same exchange repeats.

How do the instructions stay accurate?

Update the partner-facing text whenever the expected files, schedule, checks, support contact, or submission path changes.

Give the partner a clear path

Back the instructions with one clear submission experience.

Give the partner visible expectations, useful correction guidance, and a shared accepted result in DTO Flow.
